FACILITY GUIDELINES
AVAILABILITY
Orcas Farm (OF) is available to the client from 12 noon-8pm on the day preceding the event and from 8am until 3pm the day following the event (for setup and take down). Day-of, the farm is available for set up at 9am. Festivities must conclude by midnight. No items may be stored on farm grounds before or after the event without express permission.
USAGE AREA
Contracted user has access to fenced garden area and field as well as catering kitchen and associated restroom. The main house, deck, pond and barn are off limits. Guests are asked to stay on grass paths and out of garden beds.
INSURANCE
Contracted user must obtain “day of” insurance with Orcas Farm named as additionally insured.
FEE
We request a $1000.00 non-refundable deposit to reserve your date. Balance is due 30 days prior to the event. Pay your deposit.
PARKING
Parking will occur in designated areas only. Our parking area is limited to 150 vehicles.
PORTABLE TOILETTES
We will arrange for (2) standard portable toilettes. This will be an additional charge invoiced to the Contracted user.
FIRE
Use and placement of luminarias, Tiki torches and fire pits must be approved by Orcas Farm.
SMOKING
We encourage a smoke free environment. Smoking is allowed outdoors in the designated area only.
OUTDOOR SIGNS AND DECORATIONS
Contracted user is responsible for set up, breakdown and removal of all decorative materials.
WEDDING PLANNER
Please have your Wedding Planner contact us prior to the event to review OF guidelines and agreements.
CATERER
Caterer must send a copy of valid license and insurance to Orcas Farm prior to the event (po box 337, olga wa 98279)
BAR CATERER
Bar service vendor must obtain a valid Banquet license from the Washington St. Liquor Control Board.
TENTS AND BAR AREAS
The location of all tents, covered bar areas and cook/grill stations must be approved by OF.
DROP OFFS, SET-UP AND PICK-UP
All users and vendors are required to check with OF before dropping off, setting up and picking up equipment. Vehicle access to both ceremony & reception site is available to vendors.
CLEAN UP
All rented areas including catering kitchen must be cleaned and returned to original condition by 3pm the day after the celebration.
TRASH/RECYCLING
All trash and recycling must be bagged up ready for removal. OF will provide receptacles for trash and recycling and be responsible for removal.
DAMAGE TO BUILDINGS AND GROUNDS
Contracted user will be responsible for any and all costs of event related damage to Orcas Farm buildings and/or grounds.
PETS
Due to livestock and sensitive areas, dogs are not allowed on the premises.
NOISE
Amplified music is not allowed after 10:00 pm in accordance with local noise ordinance.
CANCELLATION POLICY:
A $1000 non refundable deposit is required to secure your date. The remaining balance is due 30 days prior to your event.
If you must cancel within 30 days of your event, we will refund 50% of your balance payment.
